Protect the local copy without overstating control
Scholarship applications can persist in offline folders, downloads, email attachments, print queues, temporary exports, backups and removable media. Inventory the real copies instead of treating the visible Google Drive folder as the only exposure.
An scholarship board administrator prepares a fictional scholarship-file package on an approved Windows review laptop, tests the relevant layer and keeps the working source separate.
Run the control sequence
- 01
Start with one approved fictional scholarship-file package.
- 02
Search approved Windows locations, recent downloads, print output and removable media.
- 03
Classify each copy as required, temporary, duplicate, backup or unknown.
- 04
Assign an owner and permitted lifetime to every required copy.
- 05
Remove or quarantine unneeded copies under the documented process.
Preserve decision evidence
Record contract package, copy path, state, owner, purpose, sensitivity, retention date and disposition.
Stop when
- The only copy is being deleted during cleanup.
- Unowned downloads or printed contracts remain.
- Temporary exports have no removal rule.
Keep secrets and unnecessary applicant data out of the decision record.
Separate local and provider controls
PC-side folder access is not provider-side encryption, Google Drive account recovery, sharing-link control, MFA, permission bypass, guaranteed backup or full-device security.
Local sync questions
Does local folder access control the Google Drive account?
No. Google Drive permissions, links, MFA, sessions and recovery remain provider controls.
Is sync an independent backup?
No. Test a separately stored recovery copy outside the same account and device failure domain.
